Meeting Summary

 

I.      Student Portal Demo

           A.   Lauren took us through a demonstration of the Student Portal, mymaricopa.edu.  Lauren has joined a portal

                   sub-committee ‘look and feel’.  The last meeting of this group brought a healthy discussion regarding  

                   Id validation.  Expect more discussion on this topic.          

II.     Communication to Staff & Students

A.        Lauren and Barbara shared a NSS brochure distributed by MCC.  Time to revisit our Communication Team.        

Team Members are:  Lauren Shellenbarger, Beth Trinh, Jennifer Kester, Angie Kroll, Kim Mounts, Leda Johnson, Kirsten Hall and Debra Sheldon.  Do we want to send a newsletter?  Utilize website?

B.         Kirsten stated we have to tell people something new in three different ways before they can absorb the concept.

C.         Maybe our team could send something every 2 weeks with a consistent look & feel.  Whatever info is posted

it should include posters in the Commons area.  The fall flier could be designed to look like the website.

D.        Ernie shared that the subject had come up in a VP meeting.  Why isn’t there one source for marketing tools

Since all 10 colleges are required to do this.  It’s “My Maricopa.com”  not “My Estrella” or “My Mesa”.

Good point that Lauren will share at the CIT Managers meeting.

E.         Whatever information is distributed we need to ensure that it is intuitive to actually reduce the face to face

workload.

III.    Training Update

A.       This group is at the District Office a lot!  A District Training group has been created which will have

one person from each campus to help develop training.  Our Train the Trainer group is meeting every Monday

going through the tools provided by the district.  Their goal is to determine who needs to be trained on what

and what is it connected to in legacy.  They plan to begin staff training in September.  DO will create additional fall training.  Elaine Trask has volunteered to help map the new system to the old system processes.  She will attend two days each week for the next six weeks.  Linda Scott & Jason Galaviz will alternate attending the Advisor’s training on Tuesday from 1-4 for the next 3 months.  Barbara & Angie are attending Security Training every Wednesday from 8-2.  Debra Sheldon is attending R25 meetings once a week.  This is all in addition to the regular technical training (fiscal, financial aid, etc…)

IV.    EASIS 5 will be up next week (w/o 5/23).

V.      NC500 Meeting

A.      ? what do we  do with the NC500 course # that is not really a course.  There are ways to use groups,

events, specific fees.  Still debating what to do with new student orientation.  We could create FYE group or do it as an event.  The Community Education Council has all ready defined.  Still waiting to see where they place orientation.

VI.    Help Desk Update- No new information available.  We will have to call a Help Desk meeting in the next few weeks.

VII.   Functional Area Updates

Fin Aid – still working on lots of little things (if this then that).  Completed FA training, still haven’t seen all of the system.  EMCC has volunteered to be a guinea pig of sorts…VA training this week.  Cleaned up data, going back three years.

Fiscal- Hot topic is enrollment cancellation, still more back office things to be done, no schedule as of yet.  Fiscal is the least finished product of the NSS project.

Skill Center- no update.

A&R- hot topic is purge approach.  Term vs. Class (recommended).  Good news is that each college will choose which is best for them.

Advisement- got to see a demonstration of the student self serve system.  Students must select a degree plan.  Concern over how we train the students to do this.  This impacts more than advisement.  Financial Aid, VA etc.  Looking for ways to make this more intuitive without huge reprogramming effort.

R25- Susan attended the meeting.  Backup failure will cause a three week delay.  More maintenance needs to completed to incorporate recent changes.

Crystal Reporting/Shadow Systems- no update.
