Meeting Summary

I.  Minutes reviewed.  No changes.

 

II. New Go-Live Date Implications

A.     Issues and concerns now funneled through newly created Tri-Chairs.  Tri-Chairs made up from Financial Aid, Fiscal and A&R Council.

B.      New Go Live Date:  July 2005 except for Financial Aid portion this will be rolled out February 2005 (after Presidents Day).

  1. 2 ways to input grades: Faculty Self Serve and Regular Input.
  2. VAX and Legacy will be viewable after 7/05.  Using old system for Financial Aid through 9/30/05.
  3. How will grades for summer session be handled?

 

III.  College Readiness Check sheet

  1. Reviewed College Readiness Check sheet- Expect revisions.  Lauren is waiting for an electronic copy. 

 

IV.  Training Information

  1. Week of Nov 16 there will be a training for all College Trainers (3 hrs, covers the basics), Lauren , Barbara, Silvia and Jennifer will attend
  2. Week of December 6 there will be a Financial Aid Training (2 blocks, 10 hrs each, covers essential tasks), Jennifer and Rosanna  will attend
  3. All training modules will be available on the web.  This is expected to be up by 12/31/04.  Financial Aid of course will be sooner.
  4. EASIS upgrading to EASIS Plus.  Should be up by end of the month (Oct).  All current users will be converted to Plus version.  (scenario handout distributed)
    • Should have campus training in Spring
    • Train new folks during “week of accountability” and provide refresher for existing.
    • A&R will assist with training.
    • Can access from home (web based).  Rumors that high speed internet is recommended, dial up painfully slow.
    • Will create links from old screen numbers to new pages.
    • Bring some campus people in for basic training in November and December.

 

V.  SIS Security Meeting

A.      Barbara attended SIS Security meeting last week. 

B.       District Office will set up new employee accounts (mapping and pathing).

C.       District Office will identify roles (tasks) and work flow for each employee.  They will be comparing these to current access levels.

D.      Barbara will ensure each employee has appropriate, individual access according to their position.  Will be tricky due to multi-tasking.

E.       Barbara has asked for a report (ZBA110) from IT. This will give her current access levels based on log in # and screens used.

F.       Barbara will process all changes to existing employee accounts.  District Office will handle new employees.

G.       Concern that District Office will get bogged down with minute detailing, may wish to consider clustering tasks by position as done at other colleges using this system. Barbara has raised this concern

 

VI.  EMCC CIT Webpage

  1. Previewed EMCC CIT Webpage- suggestion to consider adding Benefits to Students info on page.  Information to come from District Office flyer.
  2. Team updated the Team Member List.  Thank you Debra!

  1. HR working on RPS, PARS, Time & Attendance sheets on-line.

Daniel asked about Functional areas training: (from 9/17 meeting) 

 a) This will come later on.  Jennifer is the only Financial Aid Extended Core Trainer for the district.  She’ll probably    train a Fin. Aid person at each campus and the will in turn train their staff. 

b) Is there a Faculty rep/Core Trainer? (Linda)
